1. Who we are

Recall is an AI-powered client memory tool for real estate agents. The service is operated by Recall (neverforgetapp.app). When we say "Recall", "we", "us", or "our", we mean the operator of this service.

2. What data we collect

We collect the following data when you use Recall:

• •Account information — your name and email address when you sign in with Google.
• •Gmail data — with your explicit permission, we read emails from meeting note services (Fathom, Gemini, Fireflies, etc.) to file them by client. We do not read all of your email — only emails from recognised meeting note senders or emails you explicitly forward to your magic address.
• •Meeting notes — the content of meeting notes you file through Recall, including summaries, action items, and client details.
• •Voice recordings — audio files you upload or record directly in Recall. These are transcribed and then the audio is discarded.
• •Usage data — basic analytics about how you use the product to help us improve it.

3. How we use your data

We use your data solely to provide the Recall service:

• •To file and organise your meeting notes by client.
• •To power the conversational search across your client history.
• •To send your weekly briefing email and pre-meeting alerts.
• •To improve the accuracy of our AI parsing and search.

We do not sell your data. We do not use your data for advertising. We do not share your individual client data with anyone, including your brokerage.

4. Gmail data specifically

Recall's use of Gmail data is limited to reading emails from meeting note services to file them as client records. We access Gmail using Google's OAuth system with your explicit consent. We request the minimum permissions necessary. You can revoke Gmail access at any time from your Google account settings. Our use of Gmail data complies with Google's API Services User Data Policy, including the Limited Use requirements.

5. Data ownership

Your data belongs to you. Your client notes, meeting history, and relationship intelligence are yours. If you cancel your account, you can export your data before deletion. We do not claim ownership of any content you create or file through Recall.

6. Aggregate and benchmark data

With your consent (which is opt-in and configurable in your account settings), anonymised and aggregated data from your usage may contribute to market benchmarks available to Pro and Brokerage subscribers. This data is fully anonymised — no individual client names, conversation content, or personally identifiable information is ever included. You can opt out at any time.

7. Data storage and security

Your data is stored in Supabase (PostgreSQL) hosted on AWS infrastructure. All data is encrypted at rest and in transit. We use industry-standard security practices. Anthropic's Claude API and OpenAI's Whisper API process content to provide AI features — please refer to their respective privacy policies for details on how they handle data.

8. Data retention

We retain your data for as long as your account is active. If you cancel your account, we will delete your data within 30 days. You can request deletion of your data at any time by contacting us at hello@neverforgetapp.app.

9. Your rights

You have the right to:

• •Opt out of aggregate benchmark data.

10. Cookies

11. Changes to this policy
